Board Positions

The job of the Board of a not-for-profit is to ensure the sound running and fiscal management of the corporation. TNTMEN is a social group, and as such, the Board is also tasked with outreach, promotion and networking in the larger naturist/nudist community and the community at large. Candidates for the Board should be open about their sexuality, open about being naturists, and willing to lead by example.

Candidates need not have prior experience on a Board, but it is helpful. Specific experience sought by the Board Development Committee are, but not limited to: event production and promotion, activism, community engagement, financial and marketing experience, volunteer and HR coordination, fundraising, business management, artistic skills, legal or paralegal experience, bookkeeping, activism, and academics.

Events Coordinator:

Coordinates the planning, scheduling and holding of events. Arranges facilities for events not held at private homes. Solicits membership for ideas for new events, and for volunteer hosts. Advises volunteer hosts. Informs Membership Coordinator of upcoming events.

The Events Coordinator also assists the Membership Coordinator in the publishing of newsletters, event calendar, event hand-outs, and event advertising. He also assists in the maintenance of website in accordance with the TNTMEN Style Guide.

The Events Coordinator is also responsible for attending all Board meetings, and providing regular updates. Outreach, promotion and member engagement are also part of the regular duties of this position.

Hospitality Coordinator(s):

Responsible for vetting, organizing and communicating with all TNTMEN volunteers and hosts. The Volunteer Coordinator works with the Membership Coordinator and the Event Coordinator to ensure smooth communication, volunteer and member retention, and volunteer and member recruitment. Outreach, promotion and member engagement are also part of the regular duties of this position.

Membership Coordinator:

Maintains membership database and mailing lists. Maintains TNTMEN mailbox and coordinates responses by: maintaining a record of incoming mailings, presenting all incoming mail to the Board (with incoming cheques being presented to the Treasurer), and suggesting appropriate actions. Develops marketing material for the Membership, and suggests new avenues for Membership growth.

The Membership Coordinator is also responsible for attending all Board meetings, and provides regular updates. Outreach, promotion and member engagement are also part of the regular duties of this position.

Member(s) at Large:

The Member(s) at large are affiliate or junior members of the Board. They are engaged, as available or necessary to assist the Board in fulfilling its duties, and as a means of ensuring proper legacy planning and continuity. These positions are usually acclaimed, and those curious about learning more about Board activity are encouraged to nominate themselves.

Members at large are asked to attend all Board meetings, but may have different requirements based on the needs of the Board and TNTMEN. Outreach, promotion and member engagement are also part of the regular duties of this position.

President:

Responsible for co-organizing monthly Board meetings and ensuring proper procedure. The President is the brand ambassador and may coordinate external lobbying, liaison with other organizations, and media relations. Ensures fiscal, corporate and legal compliance at the Board level and chairs the Executive.  

The President is also responsible for attending all Board meetings, and providing regular updates. Outreach, promotion and member engagement are also part of the regular duties of this position.

Secretary:

Responsible for drafting meeting agendas and preparing minutes of previous meeting, to be received by each director at least three (3) days in advance of meetings.

Also responsible for maintaining all TNTMEN archival records and policies, including:

By-laws and policies, with any approved amendments; approved minutes of meetings (to be available at all subsequent Board and general membership meetings), receipts and accounting files, TNTMEN Style Guide , forms, publications, including newsletters and event calendars; correspondence lists and copies of incoming correspondence (from Membership Coordinator); photography; current and previous membership lists, in printed and electronic form.

The Secretary is also responsible for attending all Board meetings, and providing regular updates. Outreach, promotion and member engagement are also part of the regular duties of this position.

Treasurer:

Responsible for maintaining accurate financial records and presenting a monthly financial report to the Board. Also consolidates and summarizes year-end financial reports for publication in the AGM mailing to the Membership.

Prepares cheques for two authorized signatures. Prepares (with the assistance of the Board) operating and capital budgets and collects expense-authorization requests for Board approval. Ensures proper year end procedures.

The Treasurer is also responsible for attending all Board meetings, and providing regular updates based on best accounting reporting practices. Outreach, promotion and member engagement are also part of the regular duties of this position.

Vice-President:

Responsible for co-organizing monthly Board meetings and ensuring proper procedure. The Vice-President is an associate brand ambassador and may coordinate external lobbying, liaison with other organizations, and media relations when the President is unavailable. Helps to ensure fiscal, corporate and legal compliance at the Board level and chairs the Executive.  

The Vice-President is also responsible for attending all Board meetings, and providing regular updates. Outreach, promotion and member engagement are also part of the regular duties of this position.
